1. Who we are

Senshin is operated by Alex Sakpoba, trading as Senshin (senshin.io), a sole trader in the United Kingdom.

If a limited company is formed to carry on this business, these terms will be updated to name that company and its Companies House number. Until then, the person you contract with is Alex Sakpoba.

2. What you are agreeing to

By creating an account or using Senshin you accept these terms. If you use Senshin for an organisation, you confirm you have authority to bind that organisation.

3. What Senshin is

Senshin is a project-delivery operating system for professional project managers, programme managers and delivery leads. It sits above tools you already use (for example MS Project, Jira and spreadsheets). It is not a task tracker, chat tool or time-sheet.

The product includes, as they exist in the live service:

• Control Tower — what needs attention across the portfolio.
• Plan — including the Gantt / timeline for a project.
• RAID, finance, people, artefacts and project records you enter or import.
• The Brief — including SteerCo and weekly packs built from live project data.
• Sensei — written analysis that combines deterministic checks on your data with large-language-model narrative. That output is advisory. You decide.

We may add, change or retire features. We will not use a change of features to take away a refund you are already entitled to under the refund page.

4. Your account

• One person per account. Do not share sign-in details.
• Give accurate professional details (name, email, organisation).
• You are responsible for activity on your account. Use a strong password and any extra lock your device offers.
• Tell us at security@senshin.io if you think someone else has used the account.

5. Your data — you own it

You keep ownership of everything you put into Senshin: projects, RAID, finance, people, activities, files and exports.

You grant us a limited licence to process that data to run the service (including Sensei analysis, signals and the Brief). We do not use your project text, names or files to train foundation models. Our main AI route is configured to use only providers that do not keep or train on the prompt.

If you allow it — we ask when you create a programme, and again at close if you skipped — we keep an anonymous picture of how programmes like yours run and finish: budget bands, health, RAID velocity, outcome codes. Never names, never RAID text, never exact pounds. A comparison is only shown when at least five similar programmes exist. Stopping in Settings → Privacy deletes staging we can still attribute to you; rows already mixed into the anonymous pool cannot be pulled back out. That pool improves Senshin's judgement, powers peer comparison, may later be published as aggregated industry statistics, and transfers with the business if Senshin is sold. We do not sell personal data.

You can export at any time (PowerPoint, Word, Excel, or a full data export from Settings, or by emailing data@senshin.io). After the account ends you have 30 days to export, then we delete as described in the Privacy Policy.

6. AI output is advisory

• We do not warrant that AI output is complete, accurate or fit for a particular decision.
• Each paid seat includes up to £2 of AI use per calendar month. If you reach that line, Sensei steps down to the built-in deductions — you still get an answer; we stop paying a model for that seat. We do not silently bill extra AI. Extra credit is charged only if you buy it.
• The organisation ceiling is £2 multiplied by paid seats in that workspace. The same step-down applies when the workspace hits that line.
• Trial accounts have a lower AI ceiling for the whole trial window (see Fair Use).

7. Acceptable use

You must not:

• Use Senshin unlawfully or to process data you have no right to process.
• Reverse-engineer the service or extract source code, except as the law allows.
• Interfere with the service, other users, or our infrastructure.
• Upload malware or deliberately harmful files.
• Resell, white-label or redistribute Senshin without a written Enterprise agreement.
• Use scripts to scrape data or abuse rate limits.
• Present Sensei output as your own certified audit, legal opinion or regulated advice.

The Acceptable Use page adds detail. A serious breach can mean we suspend the account.

8. Plans, payment and refunds

• 14-day trial: full access to evaluate Senshin. No card is required to start. There is no free plan after the trial. When the trial ends the workspace becomes read-only until you subscribe. Data is not deleted.
• Professional: £49.99 per seat per month, or £499.90 per seat per year (two months free). Every person who uses Senshin as an editor needs their own paid seat.
• Enterprise: sales-led, priced per contract. No public price. Typically SCIM user provisioning and white-label reports, and anything else we agree in writing that we can actually do.
• Paid plans are billed through our payment provider. Prices exclude VAT where it applies.
• You can cancel in Settings. Cancellation stops future charges. Access continues until the end of the period already paid for, then the workspace becomes read-only unless you resubscribe.
• Refunds: the 14-day money-back guarantee and annual unused-month refund are set out on the Refunds page and are implemented in the product. That page is the source of truth for how a refund is issued.
• We may change prices on 30 days' written notice. An annual term already paid is honoured until that term renews.

9. Availability

Senshin runs on third-party cloud infrastructure. We work to keep it up. We do not promise a percentage uptime or a four-hour fix. Planned work is announced in the product when we can.

We are not liable for outages caused by our hosting or other service providers, your network, or a force majeure event.

10. Support

Email alex@senshin.io. We read every message and reply within 24–48 hours. That is a commitment, not a best-effort hope.

11. Limitation of liability

Nothing in these terms limits liability for fraud, or for death or personal injury caused by negligence, or any liability English law does not allow us to limit.

Subject to that: we are not liable for indirect, incidental, special or consequential loss, including lost revenue, lost data or lost opportunity, arising from use of the service.

Our total liability for claims under these terms is capped at the amount you paid us in the 12 months before the claim, or £500, whichever is greater.

12. Intellectual property

Senshin, the mark, "See · Shape · Lead", and the product interface are our intellectual property. You may not copy or distribute them without written consent, except for ordinary use of the service and your own exports.

The reasoning engine, signal set and prompt architecture are proprietary.

13. Ending the contract

• You may delete the account from Settings → Account.
• We may suspend or end the account if you breach these terms, with notice where we reasonably can.
• On ending, data is kept for 30 days so you can export, then deleted as in the Privacy Policy. Audit records needed for tax or security may be kept longer, as that policy says.

14. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction. An Enterprise contract may agree a different dispute process in writing.

15. Changes

We may update these terms. Material changes are notified in the product and by email at least 14 days in advance. Using Senshin after that period is acceptance. If you disagree, export your data and close the account.
